How to Copy or Move Files to Multiple Folders at the Same Time

Have you ever needed to distribute a single document, like an updated company policy or a specific spreadsheet, into a dozen different employee folders? Doing this manually in Windows File Explorer is an absolute nightmare. You have to copy the file, open the first folder, paste it, navigate back out, open the second folder, paste it again, and repeat the cycle endlessly.

We are going to eliminate that repetitive process. Using a lightweight third-party utility, you can blast a single file, or a whole batch of them into as many destination folders as you want with just a single click.

How to Copy or Move Files & Folders into Multiple Folders at Once as Needed

For this process, we highly recommend a utility called VOVSOFT Copy Files Into Multiple Folders. You can grab it directly from their website. They offer a portable version that runs instantly without installation, or a standard installer. The free version works perfectly for basic tasks, though a $19 lifetime license removes the startup nag screen and legally allows for corporate use.

Setting Up Your File Transfer

Once you open the application, you will notice the interface is split into two straightforward sections.

The top box is your Source list. This is where you drag and drop the files or folders you actually want to duplicate. The bottom box is your Target Folders list. This is where you drop all the different destination folders that need to receive those files. In our example, we are distributing a batch of documents into five separate numbered folders on our desktop.

Choosing the Right Transfer Mode

Before you hit the big copy button, you need to tell the software exactly how to handle your data. Click the Settings menu at the top and hover over Mode to reveal three very different options:

  1. Copy: This is the safest default. It leaves your original files completely untouched and simply duplicates them into the target folders.
  2. Move: This pulls the files out of your source location and drops them into the destinations. Your original files will be completely deleted from their starting location.
  3. Mirror: Be incredibly careful with this one. Mirroring ensures the destination folders look exactly like the source folder. Any existing files in your target folders that do not match the source will be permanently deleted to create a perfect mirror image.

Running the Job and Handling Overwrite Errors

When you are ready, click the giant Copy Into Target Folders button at the bottom of the screen. Windows User Account Control will likely pop up asking for permission; simply click Yes to authorize the transfer.

A status window will appear showing you a real-time log of the progress. Depending on the size of your files, this could take anywhere from a few seconds to several minutes.

If you were to run the copy job again with the default settings, you would see that it give you an error saying the file already exists.

Why am I getting “Error No: 80”?
If you run the exact same job twice, the progress window is going to light up with a wall of yellow text saying “Error No: 80. The file exists.” This is not a glitch. The software is actively protecting you from accidentally overwriting your old data.

To bypass this error, look right above the main copy button and check the box labeled Overwrite Existing Files. Alternatively, you can check Overwrite Only If Newer, which is a fantastic feature if you are using this tool to update old spreadsheets without overwriting files that haven’t changed.

Automating Your Backups with Scheduling

If you are constantly backing up a specific work folder to three different external hard drives, you do not have to run this tool manually every day. You can schedule it to run automatically in the background.

Note: You must close the app, right-click the VOVSOFT shortcut, and select Run as Administrator for this feature to work.

Click the blue gear icon next to the copy button to open the Scheduled Task window. Check the Enabled box and type in an interval measured in seconds. For example, entering 3600 will run the backup every single hour.

Once you click OK, a small counter will appear next to the gear icon. As long as you leave the application open, it will sit quietly in the background, firing off your batch copy job every time that countdown hits zero!
